WHAT IS EMAIL ADDRESS?
An email address identifies an email box to which messages are delivered. While early messaging systems used a variety of formats for addressing, today, email addresses follow a set of specific rules originally standardized by the Internet Engineering Task Force (IETF) in the 1980s, and updated by RFC 5322 and 6854.
On the far right, the .com component represents the top level domain(TLD) for the email address. It could also be replaced with .org, .edu, or another entity. Commonly-used TLDs include:
- .com: Used by entities engaged in commerce
- .org: Used by nonprofit organizations
- .edu: Used by educational institutions
- .net: Used by network providers
- .gov: Used by governmental agencies
The domain name is the specific name of the organization. This could be any name, but familiar ones include Google.com or Target.com. The combination of the organization name and TLD is the address entered into a browser to go to the organization’s website The @ (pronounced “at”) symbol is the connector between the domain and the person who the email address belongs to. In this case, the person is Jane Doe. When an email is sent to this address, the message is sent to Jane Doe at the domain name.
Domain names can be commercial or personal. Popular email providers for business or personal use include Gmail,Yahoo,Microsoft outlook, and HubSpot Businesses and websites can purchase custom email addresses for their domain through one of these options or through their website hosting provider.
In early email systems, a wide variety of non-internet email address formats were used. The earliest email addresses had to identify one user from another on one homogenous system, such as a minicomputer or mainframe.The address was typically the user’s login name on the system, such as 432654,6564 when using CompuServ which was one of the largest online services that supported many types of electronic mail.
WHAT IS GMAIL?
Gmail (pronounced Gee-mail) is a free Web-based e-mail service that provides users with a gigabyte of storage for messages and provides the ability to search for specific messages. The Gmail program also automatically organizes successively related messages into a conversational thread.
According to Google co-founder and president Larry Page, the company was inspired to create Gmail because of a user’s letter complaining about problems with existing Web e-mail services, such as the constant need to delete messages to stay within storage limits, and the lack of any searching ability. The two largest Web e-mail providers, Yahoo and Microsoft, allow users four megabytes and two megabytes, respectively, for storing messages. Both services charge a fee for additional storage. Yahoo Mail provides a search capability; Microsoft’s Hotmail service does not.
To make Gmail profitable, Google will sell advertising and deliver it to targeted users. The company’s software will parse users’ messages to determine advertising matches and will occasionally insert appropriate ads in e-mail messages. Some have raised concerns about privacy issues, and the intrusiveness of the ads. However, in a recent interview, Page insisted that there would be strict safeguards in place to protect user information, and that the ads would not be “annoying.” Furthermore, although there will be some advertising within messages, the program will be free of more traditional advertising, such as banners or pop-up ads.
How To Recover Deleted Emails From Gmail
Restore a user’s permanently deleted email
This article is for administrators. If you want to restore deleted messages for your personal Gmail account, go to Delete or recover deleted Gmail messages.
When a user deletes a Gmail message, it stays in their Trash for 30 days. These are the options for retrieving and restoring deleted messages:
- For up to 30 days after deleting, users can recover their own messages from the Trash by following the steps in Recover deleted Gmail messages.
- After 30 days, messages are permanently deleted from the Trash, and can’t be restored from the Trash by users or administrators. This article describes options that admins have for recovering deleted messages after 30 days.
Restore messages from the Admin console
After 30 days, admins have 25 more days to restore deleted messages from the Admin console. Follow the steps below, in Restore Gmail data from the Admin console.
After these additional 25 days, messages are permanently deleted from the Admin console, and admins can’t restore them.
Retrieve data from Vault
If your organization uses Google Vault, you might be able to retrieve data older than 25 days. If the data was subject to retention rules or holds, you can search for and export the retained data. You can’t directly restore the data to the user’s Gmail account. For details, go to Get started with Vault search and export.
- After you click Restore, as described in Step 7, the restore process can’t be stopped or paused.
- Depending on the amount of data being restored, it can take up several days for restored data and messages to appear in the user’s account.
- If your organization uses Google Vault, ask a Vault user to place the user’s mail data on hold. A hold prevents the data from being deleted or purged before the user can get it.
- From the Admin console Home page, go to Users.
- In the Users list, find the user. If you need help, go to Find a user account.
- Point to the user and click More optionsRestore data.
You can also find this option at the left of the user’s account page, under More .
- Select the date range for the data you want to restore, from within the last 25 days.
- Select the type of data you want to restore: Gmail.
- Click Restore.

Check the user’s Gmail inbox for restored email messages.
Data you can restore
- Restore data that was permanently deleted within the past 25 days.
- Select a date range to restore data that was deleted within that range.
- Check a user’s Gmail inbox to confirm the data is restored.
Data you can’t restore
You can’t restore:
- Data that was permanently deleted more than 25 days ago.
- Deleted messages from the spam folder.
- Deleted email drafts.
- Deleted labels, or nested label organization.
- Data from the user’s trash.
